Assistant Administrator, Manchester (TB-1610)

£19000 - £19000 plus benefits

Our client is a well-known and established Financial Advisory firm who have offered Independent Financial Advice for more than 40 years. The company provide holistic, tailored Financial Advice to both individual and corporate clients across the United Kingdom. They are looking to recruit an Assistant Administrator to join their team to provide a professional service that will support the day-to-day operation of the office, working alongside the Private Client in the Adviser Support Team.

You will provide an effective and efficient service to the support the teams in order to contribute to the smooth running of the office by providing a high quality, proactive and professional mailroom and scanning service. You will after the financial advisers, their clients and the administration teams. You will need to be an excellent team member with a flexible, proactive approach to work.

 

RESPONSIBILITES

  • Document scanning and post
  • To sort, collate and distribute all incoming mail and courier parcels into bundles for scanning or delivery.
  • To prepare and scan all necessary documents into our internal document management system.
  • To ensure that high priority incoming and outgoing mail is processed in accordance with its priority level.
  • To perform regular quality checks resolving any issues with both hard copy and electronic postal scanning systems and redirect inaccurately addressed mail to correct recipient.
  • To provide a professional, efficient reception service for both internal and external clients
  • To organise the catering for internal and external functions.
  • To order stationary in line with office requirements.
  • To arrange courier services, as required.
  • To greet and collect clients from the main reception.
  • To support administrators and other colleagues with general administration work adhering to the relevant internal service standards.
  • To process incoming queries received from clients, or relating to a client, ensuring all appropriate action is taken in accordance to instructions received and internal policies and procedures.
  • Processing stationery requests, processing all incoming and outgoing post, responsible for logging incoming and outgoing assets (monies and documentation) as well as making sure the assets timeline is within company guidelines. 
  • To develop and maintain good working relationships with clients, advisers, administrators, , product providers and colleagues throughout the Company.

 

ABOUT YOU

  • Educated to GCSE, (O Level or equivalent standard, to include Maths &, English)
  • Office based administration experience with a focus on customer service, preferably within the Financial Services Industry
  • CF1 or equivalent Financial Services qualification is desirable but not essential.
  • Recognised qualifications/proven IT skills
  • Accurate keyboarding skills
  • Excellent communication skills, both oral and written
  • Strong interpersonal skills
  • Experience of working to targeted service standards
  • Proven track record in delivering customer satisfaction
  • Knowledge of regulatory requirements is desirable
  • Ability to organise and prioritise workload
  • Adaptable/flexible approach to work within a changing environment
  • Strong team player
