Join this well-regarded specialist Pensions Administration firm who are looking for a pensions administrator to manage a mixed portfolio of SIPP / SSAS schemes.

The company has vast experience of providing Small Self-Administered Schemes (SSAS) and Self Invested Personal Pensions (SIPP), and proud to be an independent trustee who offer their own SSAS and SIPP plans.

The Role and Responsibilities

Responsible for the day-to-day administration of a portfolio of SSAS schemes under the guidance of a Team Manager, Head of Pension Administration and other Senior Managers. Responsibilities include:

  • Electronic filing; telephone call recording; keeping the database up to date; transaction / asset entry; effective use of Worklog to manage workflow / work priorities
  • Processing all investment types in full, from cash investments to complex property purchases (including VAT; borrowing) / loan backs and everything in between
  • Establishing New Schemes – File set up (electronic & paper); inputting of scheme onto the database; registering scheme with HMRC; establishing bank account; registering with ICO/Pensions Regulator
  • Pension Regulator Registrations, Renewals & Returns
  • Drafting scheme specific Deeds (from Templates)
  • Legal Entity Identifier – registrations and renewals
  • Attendance at client meetings where necessary
  • Benefit Calculations / Payment of PCLS & Death Benefits. Transfers In / Out
  • Scheme Wind Up / Loss to Another Provider
  • SSAS Takeovers – dealing with all aspects
  • Submitting HMRC Pension Scheme Returns
  • Customer Service – effective communication with clients / IFA’s / solicitors / accountants / HMRC / investment providers and other professional connections and colleagues
  • Sound knowledge of existing pensions legislation as it applies to SSAS’s
  • Awareness of and compliance with GDPR and AML requirements
  • Assisting Team Manager and other Team Colleagues as required with annual leave cover

Administration of SIPPs

  • Work closely with the SIPP Team Leader, Management and Financial Consultants to deliver the highest possible standard of service to clients and their advisers
  • Ensure that all relevant work received is recorded in the SIPP Pro Worklog using the appropriate task types. Update the system using appropriate notes to reflect the work undertaken and when the task is complete update accordingly
  • Process contributions and transfers into existing SIPPs
  • Monitor SIPP bank accounts to ensure that funds are invested when necessary and that sufficient cash is retained to pay fees, adviser remuneration and income payments
  • Process new investments ensuring that they are approved and permitted investments
  • Arrange surrenders of investments where appropriate
  • Assist team members to undertake property and land purchases
  • Ensuring that rent reviews, lease expiries and insurance renewals are dealt
  • Prepare drawdown calculations in accordance with internal procedures and guidelines
  • Prepare SIPP asset valuations
  • Administer a small scheme allocation with guidance to aid progression
  • Attend regular team meetings and contribute feedback and ideas
  • Ensure that tasks personally allocated on the SIPP Pro Worklog are monitored and updated
