The Role

The role of the Reception / Administrator is to assist in providing administrative and office support within the business

Key Responsibilities

  • Supporting the Business to meet the clients' requirements to make appointments for review meetings
  • Developing and maintaining internal relationships to help maintain business flow and meet agreed targets
  • Contributing to the smooth running of the business diary
  • Promoting the profile of the company within the profession and wider communities
  • Continuous professional development to meet regulatory requirements and personal development needs
  • Ensuring that any business conducted is done in a responsible and compliant manner, meeting all legislative requirements, both internally and externally

Nature and scope of responsibilities

  • Reception and Office appearance
  • Manage 'passport renewal' service for clients
  • Adding client’s details to the database
  • Following processes and procedures to ensure all records are up to date
  • Preparing client Birthday Cards
  • Client diary management - Review meeting bookings
  • Preparing client invitations for review meeting
  • Answering the telephone in a polite manner
  • Making accurate notes and records of all incoming calls
  • Asking Clients to comment in the Client Testimonial book
  • Ensuring client anti money laundering requirements are kept up to date
  • Ensuring client agreement documents are kept up to date
  • Ensuring all office supplies are always well stocked
  • The role holder will keep up to date with legislative and industry changes which affect the business and its clients
  • The role holder may from time to time be required to undertake reasonable additional or other duties as is necessary to meet the needs of the business
