Overall Purpose of the Job:

The main focus of this role will be to work closely with the Director, to provide administrative support on a one to one basis. You will have a wide range of duties, acting as a first point of contact with people from both inside and outside the company, and tasks are likely to include;

 

Key Activities & Responsibilities:

  • Maintaining office systems, including data management and filing;
  • Arranging travel and accommodation,
  • Screening phone calls, enquiries and requests, and handling them when appropriate
  • Meeting and greeting clients at all levels of seniority
  • Organising and maintaining diaries and making appointments
  • Dealing with incoming email, faxes and post
  • Carrying out background research and presenting findings
  • Producing documents, briefing papers, reports and presentations
  • Organising and attending meetings
  • Liaising with clients and staff
  • Carrying out specific projects and research as required

 

Required Skills/Experience:

  • Due to the nature of the role, understanding sensitivity of issues and the need for discretion and confidentiality are essential attributes
  • Ability to quickly establish credibility and respect and build strong working relationships with department managers. Demonstrable maturity, professionalism and gravitas
  • Extremely well organised
  • IT literate – excellent knowledge of Microsoft Office packages in particular, Outlook email and diary management and confidence in using Word, Excel, PowerPoint and Adobe
  • Good attention to detail
  • Excellent communication skills, both verbal and written, and ability to communicate with colleagues and clients at all levels
  • Self-motivated, with an ability to work and think under own initiative

 

About you

  • Extremely well organised
  • Proficient in all Mircrosoft packages, especially Outlook, Word, Excel and Powerpoint.
  • Experienced PA (preferably with basic finance knowledge or worked in finance industry)

 

Extra Info

  • 12 month Fixed Term Contract – starting beginning of September
  • Monday to Friday 9.00am to 5.30pm with 1 hour for lunch
